Thank you for your interest in Ponderosa Hills. We look forward to welcoming you to our charming vacation home in the beautiful Black Hills of South Dakota. To assist you in having an enjoyable Ponderosa Hills experience, we would like to share the following information about the vacation home.

ACCOMODATIONS - Our accommodations are privately owned, individually decorated and completely furnished including fully-equipped kitchens, washers and dryers and stocked with linens.

CHECK-IN TIME is AFTER 4:00 PM AND CHECK-OUT IS 10:00 AM. Early Check-in or late Check-out will not be allowed unless pre-approved by Ponderosa Hills LLC.

SMOKING – is not permitted in the vacation home under any conditions.

PETS – are not permitted in vacation home under any conditions.

DAMAGE/RESERVATION DEPOSIT - A damage deposit Insurance policy will replace a $500.00 dollars damage deposit which will cost the customer $98.00 and is required at the time of booking the reservation.  This damage deposit insurance policy covers accidental damage and unintentional damage to the property.

Any malicious damage or intentional damage is the responsibility of the group which is staying at the Vacation Home. Within 15 days of leaving the premises Ponderosa Hills Vacation Home will contact the customers as to any such damage. We have had very little damage of this type to our vacation home and expect our customers to treat the place as if it were their own. If there is damage we would negotiate those payments for such damage directly with the responsible parties.

Things expected while staying at Ponderosa Hills:

· No damage is done to the vacation home or its contents beyond normal wear and tear.
· No damage is incurred due to contraband, pets or collection of rents or services rendered during the stay.
· All debris, rubbish and discards are placed in the dumpster.
· All soiled dishes are washed and returned to the cabinets.
· All rental charges are to be paid 120 days prior to arrival.
· No linens are lost or damaged.
· No early check-in or late check-out. (only with prior approval)
· The renters are not evicted by the owner (or representative of the owner), the local law enforcement, or the security company employed by Ponderosa Hills.
· No snowmobile, motorcycle, or any other type of maintenance will be allowed in the vacation home's garage.
· No processing of game will be allowed in the vacation home or its garage.

PAYMENT – Please make payments via credit card at our website at Ponderosahillssd.com. Credit card payment must be made in full upon making the reservation. An additional payment for $98.00 for accidental damage to the property, which is nonrefundable in lieu of a $500 damage deposit must be made and a non-refundable cleaning deposit of $200.00 for a total of $298.00 in addition to the applicable rents due plus South Dakota sales tax. If payment is made with check or money order, the payment must be made to Ponderosa Hills LLC and received within 7 calendar days at the following address: Ponderosa Hills LLC, 44906 W. Pelican Dr.,  Watertown, SD 57201 (If the payment is not received within this time frame, the reservation will be cancelled.) You must be at least 25 years of age or older to make a reservation and we may require identification confirmation at time of registration. CANCELLATIONS – Any cancellation will automatically result in the forfeiture of the $98.00 payment for accident insurance damage and $200 cleaning deposit and 2/3 of the reservation cost. Cancellations made within 120 days of reservation arrival date will be charged 100% of the reservation cost.

RESERVATION CHANGES – Renters may add additional nights to their vacation stay if the days desired are available with approval from Ponderosa Hills, LLC.

Communication – We have cell service and dial one at the lodge. We also have Internet service so that you can communicate by e-mail. We have a cellular booster system that will work within a couple hundred feet of our vacation home.

MAXIMUM OCCUPANCY – The maximum occupancy based on 8 bedrooms and 11 beds is from 18 to 22 persons. The maximum allowable occupancy of the vacation home is 22 persons.

MINIMUM STAY - The property requires a three (3) night minimum stay and a seven (5) day minimum stay is required for the Sturgis Motorcycle Rally.

INCLUSIVE FEES – Amenity fees are included in the rental rate.

NO DAILY HOUSEKEEPING SERVICE – Daily maid service is not included in the rental rate. We do not permit towels or linens to be taken from the units.

RATE CHANGES – All rates, fees and policies are based on availability, subject to applicable sales tax.

FALSIFIED RESERVATIONS – Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.

WRITTEN EXCEPTIONS – Any exceptions to the above mentioned policies must be approved in writing by Ponderosa Hills LLC in advance.

PARKING – Ample parking on site including a two car attached garage. Only wheeled vehicles are allowed in the garage. There will be a gravel pad for additional vehicles and trailers on site.

HOT TUB – No children under the age of 12 years of age are permitted in the hot tub at any time without direct observation by an adult. When using the hot tub, remember there is a certain health risk associated with this amenity. Use at your own risk. DO NOT STAND ON THE HOT TUB COVERS. Hot tub covers are for insulation purposes and are not designed to support a person’s weight. They will break and you will be charged for replacement of the cover should it be damaged. Remember, when not using the hot tub; leave the cover on so the hot tub will stay warm.

FIREPLACES – The fireplace is a non-vented electric fireplace.

WATER AND SEPTIC – DO NOT FLUSH anything other than toilet paper. No feminine products should be flushed at anytime. Should the septic system become clogged and if it is found that feminine products have been flushed, you will be charged for damages.

STORM POLICY/ROAD CONDITIONS – No refunds will be given for storms. Mountain roads can be curvy and steep. The vacation homes private drive will be well maintained, however, we highly recommend four wheel drive and/or chains during the snow months. We do not refund due to road conditions.

This unit is privately owned. The owners are not responsible for any accidents, injuries or illness that occurs while on the premises or its facilities. The Homeowners are not responsible for the loss of personal belongings or valuables of the guests. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premises.
